Summer Camp Parent Handbook

Welcome to Masterpiece Academy Summer Camps! We are excited to partner with your family and provide a safe, engaging, and creative summer experience for your child. This handbook outlines what to expect, what we ask of families, and how we work together to ensure camp's success.

Please read this handbook carefully and keep it for reference throughout the summer.

Program Overview

Masterpiece Academy Summer Camps are designed to encourage creativity, confidence, teamwork, and fun. Campers will rotate through age-appropriate activities, including art projects, movement, games, enrichment activities, and structured play. Each day is supervised by trained staff who prioritize safety, respect, and positive behavior.

Our goal is simple: create an environment where children feel safe, supported, and excited to learn and create.

Camp Dates and Hours

Session: July Summer Camps

AM Session: 9:00 AM – 12:00 PM
PM Session: 1:00 PM – 4:00 PM

Please arrive on time for your registered session. Campers will not be supervised outside of their scheduled session hours. Late pick-ups result in additional fees.

Arrival and Pick-Up Procedures

For the safety of all campers, the following procedures must be followed:

Drop-Off

  • Standard Drop-Off: 8:45 AM – 9:00 AM for AM session campers.
  • Parents or guardians must sign their child in each morning.
  • Campers should arrive on time and ready to participate.
  • Early drop-off is available as an optional add-on and must be arranged in advance.

Pick-Up

  • Standard Pick-Up: 4:00 PM – 4:15 PM for PM session campers.
  • Campers will only be released to approved adults listed on the child’s registration.
  • A valid photo ID may be required at pick-up.
  • Please notify staff in advance if someone new will be picking up your child.
  • Late pick-up is available as an optional add-on and must be arranged in advance.

Late Pick-Up Policy

  • Children must be picked up within the designated pick-up window unless enrolled in late pick-up.
  • Families not enrolled in late pick-up may incur late fees.
  • Repeated late pick-ups may result in removal from the program.

Absences

If your child will be absent for any reason, please notify Masterpiece Academy as soon as possible. Refunds are not provided for missed days.

Health and Illness Policy

To maintain a healthy environment, please do not send your child to camp if they are sick.

Children should remain home if they have:

  • A fever within the last 24 hours
  • Vomiting or diarrhea within the last 24 hours
  • Any contagious illness

If a child becomes ill during camp, parents will be contacted and expected to pick up their child promptly.

Medications

  • Staff are not authorized to administer medication unless prior arrangements and proper documentation are completed.
  • Any medical conditions, allergies, or special needs must be listed on the child’s registration forms.

Emergency Procedures

In the event of an emergency:

  • Staff will administer basic first aid as needed.
  • Parents or emergency contacts will be notified immediately.
  • Emergency services will be contacted if necessary.
  • An incident report will be completed.

Behavior Expectations

Masterpiece Academy is built on respect, safety, and kindness. Campers are expected to:

  • Treat staff and peers with respect
  • Follow staff instructions at all times
  • Keep hands, feet, and objects to themselves
  • Use appropriate language
  • Stay with their assigned group

Behavior Management

If inappropriate behavior occurs:

  1. The camper will receive a verbal warning and redirection.
  2. Continued behavior will be documented and parents may be contacted.
  3. Serious or repeated behavior issues may result in suspension or dismissal from camp without refund.

Unsafe behavior will not be tolerated.

Safety and Supervision

  • Campers are supervised at all times.
  • Activities are planned with age-appropriate safety guidelines.
  • Campers may not leave designated areas without staff permission.
  • Visitors are not permitted during camp hours without prior approval.

Camper Eligibility and Grouping

Masterpiece Academy Summer Camps are open to students enrolled in the age or grade range specified for each individual camp. Camp descriptions and eligibility details are listed on our summer camp registration page.

Campers are grouped by age and developmental level whenever possible. This helps ensure activities are appropriate, engaging, and safe for all participants.

Camp Structure and Daily Experience

Each camp theme offers a unique experience, but all camps follow a consistent structure designed to help children feel comfortable and confident.

Depending on the camp, daily activities may include:

  • Hands-on art or creative projects
  • Academic or enrichment activities
  • Guided group work
  • Games and movement breaks
  • Independent and collaborative creation time

Projects are age-appropriate and focused on exploration, creativity, and skill-building rather than competition.

Snack and Food Policy (Half-Day Camps)

Because Masterpiece Academy Summer Camps are half-day programs:

  • AM Session campers should eat breakfast before arriving. A light snack may be sent if noted in the camp description.
  • PM Session campers should eat lunch before arriving. A light snack may be sent if desired.

Snacks should be simple, nut-free, and easy to eat. Please do not send food that requires heating or refrigeration.

Bathroom and Self-Care Expectations

All campers are expected to be able to:

  • Use the restroom independently
  • Manage basic self-care, such as handwashing and opening food containers

Staff members supervise bathroom breaks but do not enter restrooms with campers. Please notify us in advance of any accommodations your child may need.

Drop-Off and Pick-Up Locations

Detailed drop-off and pick-up instructions, including parking and entry locations, will be shared with families prior to the first day of camp.

For safety reasons:

  • Parents must escort children to the designated drop-off area
  • Campers will only be released from the designated pick-up area

Optional Add-Ons: Early Drop-Off and Late Pick-Up

Masterpiece Academy offers optional early drop-off and late pick-up add-ons for families who need extended care.

  • Add-ons must be registered in advance
  • Same-day add-ons may not be available
  • Children not registered for add-ons must be picked up during standard times

Additional fees apply for all add-ons.

AM and PM Session Transitions

Children may only attend the session(s) for which they are registered.

  • There is no supervision provided between 12:00 PM and 1:00 PM
  • Campers attending both sessions must be picked up after the AM session and returned for the PM session unless otherwise specified during registration

Weather and Outdoor Activities

Some camp activities may take place outdoors, weather permitting.

  • In the event of extreme heat, activities will be modified or moved indoors
  • In the event of rain, camps will follow indoor activity plans

Please dress your child appropriately for both indoor and outdoor activities.

Communication with Families

Masterpiece Academy is committed to clear communication.

  • Important updates will be shared via email
  • Time-sensitive issues will be communicated by phone
  • Non-urgent questions can be addressed at drop-off, pick-up, or via email

Please allow up to one business day for responses to non-urgent inquiries.

What to Bring Each Day

Please label all items with your child’s name.

Campers should bring:

  • Backpack
  • Lunch and snack
  • Refillable water bottle
  • Comfortable clothing suitable for movement and art
  • Closed-toe shoes

Please Do Not Bring

  • Toys from home
  • Electronics or gaming devices
  • Valuable items

Masterpiece Academy is not responsible for lost or damaged belongings.

Lunch and Snacks

  • Campers must bring a packed lunch and snack each day.
  • Lunches should not require heating or refrigeration.
  • Please be mindful of allergies. Nut-free lunches may be required depending on enrollment.

Photography and Media

By enrolling your child, you authorize the use of photos or videos taken during camp for promotional purposes. No names or personal information will be shared. If you don't want your child photographed, please let us know by email at info@MasterpieceK12.org.

Cancellations and Refunds

  • All cancellations must be submitted in writing.
  • Refunds are not guaranteed and may be subject to processing fees.
  • No refunds for missed days or early withdrawal from camp.

Parent Communication

We value clear communication. If you have questions or concerns:

  • Speak with camp staff at drop-off or pick-up
  • Contact Masterpiece Academy directly via email or phone
